  • Validate client instructions received through approved intake channels and oversee team validation, ensuring completeness, accuracy, key dates, authorized sender requirements, and good-order status before processing.
  • Prepare allocation workings and supporting calculations, and review those prepared by team members, for compliance with fund governing documents, limited partnership agreements, client instructions, approved templates, and agreed service levels.
  • Record capital activity in Investran, Yardi, or other applicable fund accounting systems and prepare investor notices; review postings and notices prepared by team members before submission for approval and release.

  • Balance an assigned preparation workload with allocating daily work, setting team priorities, and monitoring workflow tasks, checklist completion, supporting evidence, and approval status to meet processing deadlines.
  • Prepare complete client packages and supporting evidence for independent review and approval, and perform supervisory quality reviews of team-prepared allocation workings, system postings, notices, and client packages, ensuring discrepancies are resolved and required controls are evidenced before approval.

  • Investigate incomplete instructions, calculation variances, data issues, and delayed approvals; coordinate resolution and promptly escalate control exceptions and potential SLA breaches to management.
  • Ensure complete audit trails, supporting documentation, approvals, control evidence, and final deliverables are maintained in accordance with internal policies and team procedures, and support audit requests.
  • Support operational onboarding of new funds, including review of fund documentation, validation of static data, template setup, and workflow readiness; identify opportunities to strengthen procedures and controls.
  • Provide day-to-day guidance, training, and technical support to team members, reinforce consistent procedures and quality standards, and coordinate coverage with management.

  • Demonstrable experience in private equity fund accounting, private markets operations, investor services, or fund administration, including hands-on preparation, review of deliverables, and coordination of day-to-day team activities.
  • Hands-on experience preparing and reviewing capital calls, distributions, investor notices, capital account activity, and investor-level allocations, with the ability to guide others and resolve processing exceptions.
  • Strong working knowledge of private markets fund structures, fund governing documents, limited partnership agreements, investor commitments, and service level requirements, including their application to capital activity preparation, reviews, and operational controls.
  • Strong Microsoft Excel skills, including formulas, reconciliations, structured calculation templates, and large data sets, with experience preparing and reviewing workpapers and investigating calculation differences.
  • Experience using fund accounting and workflow platforms to prepare and post transactions, monitor processing, review team-prepared transactions, and maintain approval evidence; familiarity with Investran, Yardi, Appian, or similar systems is preferred.
