This is an 18 month Full-Time Temporary opportunity with possibility of extension.

Role Overview:

The Facilities & Maintenance Coordinator supports the effective operation, maintenance, and service delivery of facilities, buildings, equipment, and related infrastructure. This role coordinates maintenance activities, service requests, contractors, vendors, and internal stakeholders to ensure facilities are safe, functional, compliant, and maintained to established standards.

Reporting into the Senior Director, Real Estate, Facilities and Capital Planning, the position requires strong organizational, communication, and problem-solving skills, with a focus on timely service delivery, cost effectiveness, customer service, and maintaining productive relationships with internal and external stakeholders.

 

Key Responsibilities:

Facilities & Maintenance Coordination

  • Coordinate day-to-day facilities and maintenance activities across assigned locations.
  • Receive, prioritize, track, and follow up on maintenance and service requests.
  • Coordinate preventative and corrective maintenance programs to support reliable facility operations.
  • Monitor work orders to ensure activities are completed safely, efficiently, and within established service standards.
  • Escalate critical maintenance issues, operational risks, and service disruptions as appropriate.
  • Maintain accurate records of maintenance activities, inspections, service requests, and completed work.

Vendor & Contractor Management

  • Coordinate contractors and service providers performing facilities and maintenance work.
  • Schedule vendor visits, site access, inspections, repairs, and planned maintenance activities.
  • Monitor vendor performance against contractual requirements, service levels, quality standards, and timelines.
  • Support the resolution of vendor performance issues and service deficiencies.
  • Verify completion of work and supporting documentation prior to invoice processing.
  • Maintain effective and professional relationships with contractors, suppliers, and service providers.

Work Order & Service Management

  • Manage and monitor work orders through applicable facilities or maintenance management trackers.
  • Ensure work requests are accurately documented, prioritized, assigned, and closed in a timely manner.
  • Track outstanding work and communicate status updates to relevant stakeholders.
  • Identify recurring issues and recommend opportunities to improve service reliability and reduce repeat repairs.
  • Support the development and maintenance of preventative maintenance schedules.

Facilities Operations

  • Support the ongoing operation and maintenance of buildings, building systems, equipment, and infrastructure.
  • Coordinate activities related to HVAC, electrical, plumbing, lighting, life-safety systems, building envelope, security, and general building maintenance, as applicable.
  • Coordinate emergency maintenance responses and assist with business continuity activities when required.
  • Ensure facility-related issues are communicated and addressed in a timely manner.

Health, Safety & Compliance

  • Support compliance with applicable health, safety, environmental, accessibility, building, fire, and regulatory requirements.
  • Coordinate required inspections, testing, certifications, and maintenance activities.
  • Ensure contractors follow established safety and site requirements.
  • Escalate safety hazards, regulatory concerns, and significant facility risks promptly.
  • Maintain appropriate documentation to support compliance and audit requirements.

Financial & Administrative Support

  • Support the tracking and administration of facilities and maintenance expenditures.
  • Review work orders, quotations, invoices, and supporting documentation for accuracy and completeness.
  • Obtain quotations and coordinate purchase orders in accordance with established policies and procedures.
  • Monitor maintenance spending and identify opportunities for cost savings and improved value.
  • Maintain accurate vendor, contract, asset, and facility records.

Stakeholder & Customer Service

  • Develop strong working relationships with facility users, managers, employees, contractors, vendors, and other internal stakeholders.
  • Provide timely and professional communication regarding maintenance activities, service interruptions, and facility issues.
  • Respond to inquiries and concerns with a customer-focused approach.
  • Coordinate activities to minimize disruption to business operations.
  • Promote a collaborative and solutions-oriented approach to facilities management.

Continuous Improvement

  • Identify opportunities to improve maintenance processes, service delivery, vendor performance, and facility operations.
  • Support initiatives focused on preventative maintenance, cost reduction, sustainability, and operational efficiency.
  • Analyze recurring maintenance issues and assist in developing corrective action plans.
  • Contribute to the development and implementation of facilities and maintenance standards, procedures, and best practices.

What we’re looking for:

  • Post-secondary education in Facilities Management, Building Operations, Business Administration, Engineering, or a related discipline considered an asset.
  • 2–5 years of experience in facilities, maintenance coordination, property operations, vendor management, or a related field.
  • Experience coordinating contractors, maintenance providers, and service vendors.
  • Experience working with work-order, facilities management, or maintenance management systems.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Demonstrated customer service and relationship-management skills.
  • Strong problem-solving and follow-up capabilities.
  • Proficiency with Microsoft Office and related business systems.
  • Knowledge of occupational health and safety requirements and facilities-related regulations is an asset.
